Using Instalead
What is Instalead?
Instalead is a lead capture app for trade shows and sales teams. You record a conversation on your phone or computer, and AI turns it into notes, next steps and a ready-to-send follow-up email, saved to the lead. How it works.
Is it only for trade shows?
No. Instalead works for events and for everyday sales: meetings, site visits and calls. Leads, follow-ups and summaries work the same way. See trade shows and field sales.
Do I have to record the whole conversation?
No. You can do a short debrief after the conversation instead, saying what happened in your own words, or type a note. Instalead writes it up the same way.
Is it legal to record a conversation?
Recording laws differ by country, state and province. In some places, everyone in the conversation has to agree to be recorded. Ask before you record, or do a debrief afterwards instead.
Does it work without Wi-Fi?
Yes. Recordings and changes are saved on your phone and upload by themselves when you’re back online, which matters on a busy show floor.
Can it record with my phone locked?
Yes. In the iPhone and Android app, recording continues with the screen locked, and the lock screen shows that it’s recording.
Can it record online meetings?
Yes. On a computer, Record picks up the meeting’s sound as well as your microphone, so the call is written up like any other conversation. A notetaker can also join the meeting for you.
Which email are follow-ups sent from?
Your own. Instalead writes the draft, and you send it from your email app, such as Gmail, Outlook or Apple Mail, so replies come straight back to you.
Teams and data
Can managers track their reps and assign tasks?
Yes. Managers see every lead their reps capture as it happens, with each rep’s leads, hot leads and open follow-ups. Add a follow-up to any rep’s lead and it goes straight to that rep’s Follow-ups. More for managers.
Who can see my leads?
Your company’s team. Managers see every lead; reps see the leads they captured, or the whole team’s if a manager turns that on. When an event organizer provides Instalead, each exhibitor’s leads stay private to that exhibitor.
Does it work with my CRM?
You can filter your leads and download them as a spreadsheet at any time, ready to import into a CRM. Direct CRM sync is available on Enterprise.
Where does my data go?
Recordings, notes and lead details are processed by our AI providers only to provide Instalead. The privacy policy has the details, including how to delete your account.
Pricing and trial
How much does Instalead cost?
From $29 USD ($39 CAD) per person a month, or about 20% less paid yearly. Every plan has every feature; they differ in how much your team records. See Pricing. Bigger teams can talk to us about Enterprise.
How does my team get started?
Start a free trial: 14 days for up to 5 people, no card needed. You set up your team in a few minutes, add people by work email, and everyone signs in on the app or at instalead.ca.
What happens when the trial ends?
Choose a plan to keep going. If you don’t, the AI pauses, but nothing is deleted: your leads, notes and recordings are all kept, ready for when you choose a plan.
